Booking your Membership and Accommodation?

We thought some of you might appreciate a bit of a guide to booking your Memberships and accommodation. So, hot off the press, here it is ...
How do I book a Membership?
To book a Membership for the Convention, you will need to register an account.
STOP! Are you using a Hotmail, Windows Live or Outlook email address? Make sure you add @dwcon.org to your Safe Senders List before you start - otherwise there's a risk you won't get any confirmation emails!
When you have an account, log in and go to your My Bookings menu. On a desktop or laptop, you can find it above the Membership menu. On smartphones, you will probably need to click on the three stripes on the right side of our Convention logo to expand the menu. Your personal menu will be at the bottom.
Click My Bookings and then click the Add Your Membership link.
Alternatively, go to the Membership page and click the Add Your Membership button.
Fill in all the mandatory fields (marked with an asterisk) and, if applicable, as much information about special requirements as needed.
Once you're done, click the Save and Proceed button.
How do I pay?
Once you've booked your Membership, it's time to pay for it.
Click the Pay Now button and you'll be taken to an overview page listing the amount due. Click the Pay Now button next to the total and fill in the required fields.
Once that's done, click the last Pay Now button, which will take you to the Your Orders page, listing what you've purchased. Click Go Back to return to your My Bookings page.
Please remember that payment confirmation may take some time, depending on how many members are trying to pay at one particular time.
How do I add more members?
If you're adding more than one member on your account, you should click the Add New Member button on your My Bookings page until everyone is added and move to the payment stage.
Please remember, you will be asked to pay for all memberships that you have added to your account.
I'm having issues booking a membership on my Blackberry/Kindle Fire/other device.
We've tried to make sure the system works for as many different devices as possible. Unfortunately, we have not been able to ensure that every device out there is supported. If you're experiencing issues, please try another device.
How do I request a room/camping plot?
Congratulations - you have booked and paid for a membership!
If you want to stay at either Chesford Grange or Woodland Grange, you can now request either a room or a camping plot or a room. However, you will only be able to do this if you have a Full or Concessionary Membership.
On your Membership form(s), if you've picked either:
- I want to book a room in one of the Convention hotels
- I want to camp at the Convention hotel
You can request a room or a camping plot (though again, you'll need a Full or Concessionary Membership). Click the Request a Room or Book a Plot button as provided and follow the instructions.
If you are booking a room with multiple occupancy, you will need to include the details of the Members you will be sharing with. This is important as when room allocations are made we need to ensure the rooms have the space for all of the occupants and meet their requirements. It would also be greatly appreciated if you could maximise the occupancy of your room where possible.
I don't see an option to book a plot or request a room...
Please check that you have created and paid for a Full or Concessionary Membership.
Supporting memberships will not have the option to request a room or book a camping plot, unfortunately.
When will I find out about my accommodation?
The Hotel Team are aiming to confirm accommodation requests in around three weeks.
You will be sent an email offering you a room or camping pitch. If you want to accept the offer, please reply to confirm. If you do not want to accept the offer, please let the Hotel Team know at email@example.com
Help, I've changed my mind about accommodation!
If you've changed your mind about your accommodation plans, and you now don't want the room or the pitch, want a different room, want to share with someone else or don't want to share, you can (within reason) make changes to your reservation up until the point at which you are offered a room, or pay for your camping pitch(es).
If you need to make a change after you have been offered a room, or after you've paid for camping, please contact the Hotel Team at firstname.lastname@example.org.
